Scope and Content
The arrangement of this collection is separated into seven series:
Series I, Organization, includes three subseries.
Subseries IA, Local, includes the history of the Dayton Chapter written after its first 56 years, as well as a more recent history covering from 1975 to 2006. The Chapter's by-laws and articles are included here also. This series also contains booklets on The Dayton Exchange Club Foundation. Pamphlets giving general information on different aspects of running an Exchange Club as well as blank forms used in day-to-day activities are included in this series. Materials concerning events held and programs supported are also included.
Subseries IB, District, includes district convention programs from 1985 to 1990. There is no program for 1986. A district history, as well as general information, is also included.
Subseries IC, National, includes information about the national organization. A 1928 booklet on the history of the Exchange Club movement is located in this series. Several leaflets on the history of the national club, directories, educational pamphlets, convention programs, by-laws and covenants of service are also included.
Series II, Administration, contains three subseries.
Subseries IIA, Minutes, includes the minutes for the board meetings as well as some director's meetings. The minutes include the years 1972 to 2006. However, there are no minutes for the years 1994 to 1998. Minutes for 1994 to 1997 are included in the first two scrapbooks in Series VI. These years are not complete and there are no minutes for 1998. Agendas for club programs and general meetings are also located here. Some expense/budget reports are included in this subseries as they were originally attached to the meeting minutes. See Subseries IIC, Financial, for the bulk of these records.
Subseries IIB, Membership, includes membership lists for the years 1986 to 2005. There are no lists for 1997 or 2001. There are some undated lists. Member address books are included in this series with a date range of 1977 to 1986. There is also a little information for 1968 members. Membership roster cards are in this series and range in date from 1973 to 1991. However, not all the roster cards are dated. Membership certification forms and the Dayton Chapter Club President's lists are also included in this series. Harold S. Miller, husband of the Wright Brothers' niece, Ivonette, was a member of the Dayton chapter. Any information pertaining to Mr. Miller has been included in a separate folder. There is a photo of Mr. Miller and news articles on his wife's death located in Series VI, Scrapbooks. Information on past members, such as obituaries and news articles, are also included here.
Subseries IIC, Financial, includes tax form 990s dating from 1967 to 1980 for both the Dayton Chapter and its Foundation. The foundation forms only cover the years 1967 to 1969, 1974, and 1980. The Club's check ledger is included here for the years 1982 to 1995. Financial reports dating from 1965 to 2006 are included in this series. No reports are present for the years 1976 to 1980 or 1987 to 1993. There are also some undated reports. Budget/expense reports cover the years 2002 to 2006. Some of these reports are included in the Subseries IIA, Minutes and also can be found in Series VI, Scrapbooks for 1994 to 1997. Various government and state paperwork is also included in this series.
Series III, Newsletters, contains two subseries.
Subseries IIIA, Local, includes the Dayton Club's newsletter, the Exchangite, covering the years 1962 to 2006. For the year 1962, only May and December are present. April 1963 is the only issue for 1963 in this series. April 1964 and February 1965 are the only issues for these years. The years 1980, 1981, 1991, 1992, 1994, 1995 and 1997 are incomplete. There are no newsletters for 1985.
Subseries IIIB, Regional/National, includes newsletters for the Ohio/West Virginia region, as well as newsletters for the national club. The regional newsletter, The Sower, covers the years 1987 to 1992. None of these years are complete. The Link, another regional newsletter, covers the years 1993 to 2006. None of these years are complete, and some of the newsletters for the years 1997 to 1999 have been cut up. The regional newsletter, Exchange Club News, is dated third quarter 1979-1980 and is the only issue present. There are some district president's newsletters dated 1979 to 1980, as well as one undated newsletter. National newsletters include The Exchangite (2 issues only for years 1994 and 1996), Timely n' Topical (August 1988 issue only), Exchange Today ( 3 issues only for 2000, 2001, and 2004), Exchange Currents (October 1, 1996 issue only) and Together We Build (March 1994 issue only).
Series IV, Correspondence, includes letters of donation to scholarship funds from the Club to Sinclair Community College, University of Dayton, Wright State University and Wittenburg University. Letters of donations in honor of past Exchange members are also included here, along with donation letters for different causes, as well as general club correspondence. Resignation letters, as well as letters requesting retired status, can be found in this series.
Series V, Audio-Visual, contains two subseries.
Subseries VA, Photographs, includes photographs of various social events, banquets, award presentations and members. These photographs range in date from the late 1950s to 2002 with the bulk of them from 1986 to 2002. Most of the photographs are identified and dated.
Subseries VB, Other, includes a 35 mm reel of film covering a fashion show in 1995 and a cassette tape of a testimonial luncheon for John Siebenthaler in April 1970.
Series VI, Scrapbooks, includes three scrapbooks. The scrapbooks contain newsletter and newspaper clippings relating to the Dayton Chapter and its members. Several news articles on the Wright Brothers' niece, Ivonette, death can be found here. A 1930 aviation program and button are located within this series. Photographs covering social events, award presentations, and conventions are found here with varying degrees of identifying information. Two of these scrapbooks have been placed in archival binder boxes and cover the years 1930 to 1997, with the bulk of the material dating 1990 to 1997. The third scrapbook was transferred to a folder and covers the years 1974 to 1993 with the bulk of the material dating 1984 to 1993. This folder can be located in box 12.
Series VII, Memorabilia, includes a collection of pins from district conventions covering the years 1993 to 1996. There is a 1995 covenant of service award to member William Wild, a club sticker, convention name badge, two bumper stickers, several large postcards, and a proclamation of National Exchange Day are also included here.
