Scope and Contents

From the Collection:

This collection primarily contains the administrative and financial records of the Yellow Springs Community council (YSCC). Additionally, there is correspondence between members of the YSCC both internal and external in relation. The collection dates from its founding in 1967 to its closure in 2013; however, the bulk of the collection is dated between 1993 and 2013. The collection is broken into 3 series: Administrative, Financial, and Correspondence.

Series I: Administrative, contains the Articles of Incorporation, policies, bylaws, meeting minutes, and member lists of the YSCC. Additionally, there are annual reports that describe the overall state of the YSCC for a given year while the assorted reports contain reports that depict different aspects of the company for that year such as demographic reports and funding campaign reports. Since the YSCC was an umbrella organization under the United Way of Dayton, the United Way of Dayton dictated what requirements that the YSCC needed to meet in order to receive funding. These included signing partner agreement, being verified by the Better Business Bureau, and being a member of the Combined Federal Campaign. Prior to becoming an umbrella organization of the United Way, the YSCC obtained its funding from the Yellow Springs Community Chest which was a grassroots community funding campaign that occurred yearly and lasted from 1966 to 1976. Materials in Series I date from 1966 to 2013

Series II: Financial, contains allocation reports, funding requests, monthly balance sheets, and yearly financial statements. Additionally, the YSCC acted as the fiscal agent for some non-profit organizations in Yellow Springs. As such, the organizations needed to sign Fiscal Sponsor Agreements with the YSCC. In 2008, the YSCC began the Summer Camp Scholarship Program, with which the YSCC donated money directly to youths in Yellow Springs to allow them to go to the summer camp of their choice. Materials in Series II date from 1979 to 2013.

Series III: Correspondence, Includes the correspondence to and from the YSCC and its members. The correspondence includes letters to and from donors, funding allocation letters, publications, and internal correspondence. Additionally, there is both external correspondence and correspondence between the YSCC and the United Way specifically. Since the YSCC was an umbrella organization under the United Way, there was more correspondence between those two organizations than other external correspondence. There is additional external correspondence between the AACW and the YSCC. The YSCC funded a blues festival hosted by the African American Cross-Cultural Works in 2007 and 2008. Also notable in this series are files about the Sweatland Skatepark project. In 1998 and 1999, Mrs. Sweatland passed away and left it in her will that her finances be used to fund a skatepark near her house. The law firm handling her will reached out to the YSCC to act as the fiscal agent for the skatepark. However, after negotiations, this project never came to fruition. Materials in Series III date from 1980 to 2013.

Requests for unprocessed electronic records can be submitted for consideration, by contacting us at least two weeks in advance. Archives staff reserve the right to restrict access to files with privacy or confidentiality concerns or to deny requests in which the review period is insufficient, given the volume of records requested and the desired access date. Access to original electronic media (original CD, floppy disk, etc.) is restricted.
