The collection includes administrative, financial, and event files, with most of the material dating from 1990 to 2017. Within each series, most materials are arranged chronologically according to the academic year schedule on which the organization operates. Materials available in electronic format are indicated at the file level in the collection inventory.
Series I, Administrative, includes primarily meeting agendas and minutes, as well as by-laws, officer and member lists, annual reports, and correspondence. The collection of meeting minutes is fairly complete from 1993 to 2017, though coverage is sparse from of 2007-2012. Meetings include Board, Delegate, and Unity meetings. A small amount of photographs, news clippings, and subject files are also included in this series. Materials in this series are arranged by subject and most date between 1990 and 2017. This series contains the only items in the collection which date from the time frame 1951 to 1965, and those items consist of just a few newspaper clippings.
Series II, Financial, consists primarily of financial reports and budgets, including proposed and final budgets, audit reports, and balance reports (usually issued monthly). (Financial materials pertaining only to specific events are filed in the Events series.) This series also includes information about scholarships (called “grant-in-aid” early on), such as lists of winners and news releases specific to the scholarship. Materials in this series are arranged first by type, then chronologically, and date from 1990 to 2017.
Series III, Events, consists entirely of files pertaining to the organization’s annual luncheon and style show fundraiser event, held each year in the spring. All materials pertaining specifically to luncheon and style show are filed in this series, including planning documents, programs, financial reports and documentation, final reports, notes, and correspondence. Materials in this series are arranged chronologically, one file per event, and date from 1992 to 2017.
