Scope and Contents

The collection consists of minutes, ledgers, clippings, member lists, instruments, and other materials relating to the Greene County Medical Society.

Series I: General History, consists mainly of materials concerning the centennial celebration in 1988, as well as 2 copies of the book "Physicians of Greene County." Materials in this series date between 1986 and 1988.

Series II: Minutes, consists of the Society's meeting minutes, from 1888 to 1982, with the exception of a gap from 1898 to 1918. The early minutes are contained in leather-bound volumes; later minutes are loose-leaf in file folders (one per year).

Series III: Membership, contains membership applications, lists, indices, and correspondence regarding membership status. Most material in this series is arranged alphabetically according to the member to which it pertains. Membership files may contain basic directory information; letters of recommendation; education; military service. (According to a records retention schedule for the Society found in the collection's administrative file, membership files were typically retained by the Society until 1 year after death or relocation and then sent to the archives, to be part of FSC-28.) Materials in this series date overall from 1915 to 1989, with the bulk being in the correspondence files which date to as early as 1948 and as late as 1989.

Series IV: Clippings, consists news clippings pertaining to local area health news and/or local doctors' (members') activities (whether relating to the Society or not). Most items date between 1985 and 1989, with one file on "Community Health" being from 1966.

Series V: Newsletters, consists of issues of the Society's monthly newsletter "THe Bulletin," with a full set from 1958 to 1963.

Series VI: Financial, includes financial/ dues ledgers dating between 1928 and 1986, with the exception of a few gaps (1933-1958 and 1964-1967).

Series VII: Miscellaneous, includes one audiocassette tape concerning "Dr. John Hole Memorial dedication/ Dr. Ben R. McClellan" (1940) and one file on Diabetes Detection Program (1967).

Conditions Governing Access

There are no restrictions on accessing paper-based material in this collection.

Magnetic media formats (audio/video reels, cassettes) without a reference copy: Due to preservation concerns, original audio and video materials cannot be played in the reading room. Patrons may have access to digitized reference copies. Items without existing reference copies can be digitized at the patron’s request for the cost of creating a digital copy. Please contact us at least two (2) weeks in advance if you would like to request an audio or video reference copy.

Conditions Governing Use

Per the letter of agreement signed in January 1989: "Although any portion of the Society archives may be copied or photocopied, within the guidelines of the copyright law, it may be published only with the written permission of the Fordham Health Sciences Librarian, Wright State University, following consultation with the President of the Greene County Medical Society." (Note: As the Fordham Health Sciences Library no longer exists as an entity, the person now in possession of similar authority to grant this permission is the current Head of the Special Collections and Archives, Wright State University Libraries.)

Biographical / Historical

In Ohio, early State Medical Societies were started in 1835 and 1840. The first county level Medical Society was established in 1848 in Clark County. By 1888 The Greene County Medical Society was created. The Society met in the office of Dr. Samuel Martin where 52 physicians from throughout Greene County signed the organizations Constitution and By-laws on June 7, 1888.

Immediate Source of Acquisition

A letter of agreement signed in January 1989 established Wright State University Fordham Health Sciences Library as the permanent depository for the Greene County Medical Society's archives. The collection was later transferred to Special Collections and Archives, Wright State University Libraries, when the Fordham Library was closed.

Processing Information

Series II: Minutes remain in their original manila file folders. Series IV: Clippings were all photocopied onto new copy paper.
